How an exhibition runs from signature to clearance
An exhibition does not fail on opening day. It fails weeks earlier, in an item somebody forgot. This is the sequence we work to.
The plan before the design
We start from the hall plan, not the stand frontage. Stand allocation is what draws the visitor route, and the route is what decides which stands get seen and which get walked past. The largest hall we have planned is 4,200 m²; the same rule holds at four hundred.
Permits open in the first week
The venue owner needs time for permits and insurance, and that is precisely the item missing from most proposals. We open it at the start, because meeting it days before opening does not mean revising one line — it means rebuilding the whole schedule.
An exhibitor manual in dates, not durations
Every exhibitor receives a manual carrying the date they enter the hall, the hour their truck unloads, the height limit on their stand, and the power points assigned to them. 'Tuesday the 14th, 6am' — never 'two days before opening'. A duration gets interpreted; a date does not.
Build-up week is run as a sequence
One forklift and one aisle serve dozens of stands, so build-up runs to an hourly schedule rather than a daily one: who enters first, who waits, and when power is handed to each stand. Without that sequence the trucks queue in the yard and a full day is lost.
A supervisor in the hall, not a phone number
An operations supervisor who stays in the hall for every show day — handling the exhibitor who arrived late, the power that dropped, the delegation that came early. And a daily report with figures and photographs reaching the client at the end of each day.
Breakdown is planned from the start
The hall goes back to its owner in the condition it was received and on the agreed date, because a delay here is a penalty on the client and not on us. So breakdown enters the schedule on day one, not on the final evening.
Ask any company about three items: who opens the permits, when the exhibitor manual is issued, and who stands in the hall on opening day. The answers separate the companies that have delivered from the ones that have not.

The first Dhahran chess championship
In partnership with the Ministry of Sport, Dhahran Municipality and the Saudi Chess Federation — more than 1,500 attendees, with an on-site team keeping the hall quiet.
Proptech smart real-estate stand
Two different designs for the same brand at the same show, with an interactive touch kiosk and a branded reception counter.
The cybersecurity competition — Al-Ahsa
More than 300 secondary-school students at InterContinental Al-Ahsa, in partnership with Aramco and the Ministry of Education, closed by an awards day.
The Hajj Services Coordination Council stand
An arched canopy and a honeycomb ceiling drawn from traditional geometric ornament, in a contemporary cream palette — from the structural frame through to the seating and lighting.

Dammam
The Gulf Air event with Dammam Airports, Alinma Bank's staff open day for more than 1,500 people at Hadab Chalets, and Al-Khalidi Group's SINOTRUK deal announcement before more than 200 guests.

The Subsea7 office launch in Al-Hugayet Tower, Khobar — the tour, the ribbon and the first working day in one sequence.
Dhahran
The first Dhahran chess championship at Dhahran Mall in partnership with the Ministry of Sport, Dhahran Municipality and the Saudi Chess Federation — more than 1,500 attendees.
Al-Ahsa
The cybersecurity competition at InterContinental Al-Ahsa with Aramco and the Ministry of Education, for more than 300 secondary-school students.
We serve Jubail within the same radius — under an hour from Dammam, with the team, the workshop and the stock all here. We have not yet published documented work there; when we do it will appear on the work page like everything else.
Common questions
Who handles venue permits and insurance?
We do, within the contract. This item is missing from most proposals and surfaces days before opening — ask about it explicitly with any supplier.
How long does organising an exhibition take?
It depends on the area and the number of exhibitors. We issue a schedule with dates rather than durations, signed off before we start, including the final approval date and the hall access date.
Do you work with government bodies?
Yes. We have worked with the Ministry of Sport, the Ministry of Education, Dhahran Municipality, Aramco and the Hajj Services Coordination Council.
What happens if approval is delayed?
The schedule is built with slack, not on the assumption that everything goes to plan. Ask any supplier this question — the answer reveals whether they have any slack at all.

What is the difference between an exhibition organiser and a stand contractor?
A stand contractor builds one stand for one exhibitor. An exhibition organiser plans the whole hall: allocation, routes, permits, the exhibitor manual, and the build sequence across dozens of contractors. We do both, so no gap opens between them — and that gap is where most problems appear.
Do you work outside the Eastern Province?
Yes, but know what changes: beyond an hour from Dammam the workshop is far, so stands travel pre-fabricated and transport and accommodation enter the quote. All of our published work is inside the Eastern Province, and that is what we can prove with photographs and film.
What do you need from us to start?
Four things: the city and the venue if it is booked, the approximate area, the expected exhibitor or guest count, and the date. We will ask about the rest. You do not need a design ready — the design follows the plan, not the other way round.
