Common questions about exhibitions and events
What clients ask before signing — on cost, timelines, permits and handover — answered plainly by the delivery team in Dammam.
These are the questions that recur in every quote request, gathered from our four service pages and our articles. The answers are short because most of them have one answer — and if yours is not here, send it through the form at the bottom of the page and we reply within one business day.
Before we start
What services do you actually provide?
Four core services: exhibition organising (hall planning, exhibitor management and on-site operations), exhibition stand design and build in our own Dammam workshop, conferences and forums, and launch events and corporate events such as safety days and internal celebrations. You can contract us for the full service or for one part only — the stand build alone, for example.
What information do you need to prepare a quote?
The event type, the city and venue if known, the expected date, the approximate headcount or stand size, and any special requirements such as interpretation, streaming or catering. You do not need a design or a full brief ready; we arrange a short call to complete the details, then send an itemised proposal.
How long does a quote take?
We acknowledge the request the same or next business day and ask for anything missing. A detailed quote usually reaches you within two to three business days for standard events, and may take longer if the request includes a 3D stand design or several sites.
How far in advance should I book?
The earlier you start, the more choice you have in venue, materials and design. As a general rule: a custom stand needs four to six weeks from design approval, a launch or corporate event three to four weeks, and a full conference or exhibition two to three months. Shorter timelines are possible depending on team and material availability, and we will tell you plainly whether a date is achievable.
Do you work with small and medium businesses or only large organisations?
Both. Our clients include large organisations such as Aramco, the Ministry of Sport, JESCO and Alinma Bank, and we have also delivered stands and events for start-ups and mid-sized companies. What matters is clear requirements and a defined budget, not company size.
What are your payment terms?
75% of the contract value as an advance payment on signing, to secure the team and start fabrication and bookings, and the remaining 25% on handover. The dates are fixed in the contract, and we issue a compliant e-invoice for each payment.
Do you work outside the Eastern Province?
Yes. Our office and workshop are in Dammam, and we cover Khobar, Dhahran, Jubail, Al-Ahsa and Ras Al-Khair as part of our daily operating area. Outside the Eastern Province we also deliver — Riyadh, Jeddah and elsewhere — with transport and team accommodation added to the quote.
Exhibition organising
What does exhibition organising include?
Hall planning and stand allocation, the exhibitor manual and build-up and breakdown schedule, coordination with the venue on permits and insurance, registration and visitor reception, on-site supervision for every show day, plus photography and a closing report. Designed stands for exhibitors or for the organiser can be added under the same contract.
Do you work at Eastern Province venues such as Dhahran Expo?
Yes. We have built stands at Dhahran Expo and know the venue's requirements — height limits, freight doors, build-up hours and power points. We also work in hotel ballrooms, cultural centres and industrial sites, and handle coordination with venue management on your behalf.
Who handles venue permits and insurance?
We do, within the contract. We submit the hall or stand plan for venue approval, arrange fire-rating certificates for materials and liability insurance where the venue requires it, and open these procedures in the first week of the project because they take the longest.
What does organising an exhibition cost?
It varies widely with hall area, the number and size of stands, the number of show days, and the level of provision — registration, screens, catering. That is why we do not give a fixed figure before knowing these items; send us the area, exhibitor count and date and you receive an itemised quote you can adjust line by line.
Can you organise the exhibition and build the stands together?
Yes, and we prefer it. When the company planning the hall is the same one fabricating the stands, sizes and heights match the plan from the start, and build-up runs to one schedule instead of coordinating several contractors.
Exhibition stand design and build
What is the difference between a custom stand and a system (modular) stand?
A system stand is built from standard rental units — cheaper and faster, and suited to small spaces and repeat participations. A custom stand is designed and fabricated for your brand with full freedom in form, materials and height, and is the better fit when visibility is part of the goal. We offer both and recommend the right one for your space and budget.
Do I see the design before signing?
Yes. After the first call we send a 3D design from the visitor's eye level with the proposed materials and dimensions, and the quote that goes with it. Design revisions at this stage are included for two rounds, after which the final design is approved before fabrication begins.
How long does a stand take to design and build?
The initial design within three to five business days of receiving the requirements. Workshop fabrication usually takes two to four weeks depending on size and materials, followed by installation during the build-up days set by the exhibition. You receive the stand ready before opening, not on the morning of it.
What does an exhibition stand cost?
Cost moves first with area, height and materials, then with screens, lighting, furniture and print. A system stand starts at a very different level from a double-deck custom stand. Send the size, the show and the date and we send an itemised quote from which you can upgrade one item or drop another to reach your budget.
Do you fabricate yourselves or subcontract?
We fabricate in our own workshop in Dammam: joinery, structures, print and lighting. A few specialised items such as large LED walls or interactive systems come from approved partners under our supervision, and responsibility for the whole stand stays with us.
What happens to the stand after the show?
We dismantle it and clear the space to the venue's schedule. If the stand was designed for reuse we store it for you at our workshop until the next participation and refresh the print and branding. If it was a one-off we dispose of or recycle the materials, with no extra effort on your side.
Do you offer stand extras such as hosts, hospitality and giveaways?
Yes. We provide hosts and hostesses and a stand coordinator, light hospitality, promotional giveaways, screen content, and photography during show days. These are added to the proposal as you need them and are not forced into the base price.
Conferences and forums
What does conference organising include?
Venue selection and negotiation if not already booked, stage, sound, screens and lighting, online registration and badge printing, speaker and schedule management, simultaneous interpretation and live streaming when needed, catering, and a floor team for every conference day. You choose the items you need.
Do you provide simultaneous interpretation and live streaming?
Yes. We provide interpretation booths, delegate receivers and professional interpreters for Arabic, English and other languages on request, plus live streaming of sessions to your platform or a closed platform for registered attendees, with session recordings for later use.
Do you handle registration and badges?
Yes. We set up an online registration page before the conference, print badges on site at arrival to avoid queues, and give you an actual-attendance report after each day. For closed conferences, registration can be linked to a pre-approved invitee list.
What does organising a conference cost?
It depends on headcount, the number of days, the venue if not booked, the requirements for sound, screens, interpretation and streaming, and the level of catering. A one-day conference for a hundred people in a hotel ballroom is very different from a three-hall, thousand-delegate conference. Send us these inputs and you receive an itemised quote.
Launch events
Do you deliver events inside factories and industrial sites?
Yes — it is a core part of our work in Jubail, Dammam and Ras Al-Khair: safety days, line and project inaugurations, milestone celebrations and internal employee events. We comply with site access and safety requirements, work outside production hours when needed, and have delivered the JESCO and ArcelorMittal Eid celebration across several sites on the same day.
Do you handle protocol and VIP reception?
Yes. We coordinate the guest list, seating, the ribbon-cutting or reveal moment, provide a reception team and a dedicated VIP arrival route, and liaise with official bodies when government dignitaries attend. The Subsea7 office launch in Khobar is an example of this kind of event.
What if the event is postponed or the date changes?
We reschedule at no extra cost if the postponement comes before fabrication starts or non-refundable bookings are made. After that, only the actual costs already incurred are charged, and this is set out in the contract from the start. Tell us as early as possible — the earlier the notice, the lower the cost.
