Exhibition and conference companies in Dammam: 7 questions that separate the serious from the rest
Every company says it is “the best in the Eastern Province”. The seven questions below are not answered by web pages but by people — and their answers tell you who actually builds and who sells first and looks for a builder later.
Search Google for “exhibition and conference companies in Dammam” and you will find twenty pages that resemble each other down to the sentences: professional team, long experience, integrated solutions. Not one names a hall, a number or a date. We wrote this guide from the other side of the table — we hand over stands at Dhahran Expo, run conferences in Khobar hotels and build stages inside Jubail plants — to tell you what is actually worth asking about.
1 · “Who fabricates the stand, and where?”
This one question sorts out half the market. Many “organising companies” in the Eastern Province are sales offices: they take your design, then look for a joinery workshop in Dammam or Riyadh to build it at the lowest price. You see the result on build day: the company you signed with does not know why the truck is late, because it is not their truck.
- Ask to visit the workshop, or for photos of it dated today. A real workshop has stands mid-build in it, not catalogue pictures.
- Ask: how many working days from design sign-off to entering the hall? The honest answer for a custom 3×6 stand is 12 to 18 working days. Whoever says “a week” either does not fabricate or did not understand the question.
- Ask how far the workshop is from the venue. A workshop in Dammam means a broken piece is replaced the same night; a workshop in Riyadh means a full day on the road.
2 · “Show me a stand you built at Dhahran Expo”
The Eastern Province has one international-scale exhibition venue, and it has specific rules: 7.3 m clear height in Halls 1 and 2, 3.7 m-wide freight doors, rigging points rated at 100 kg each. A company that has built there knows these numbers without opening a file; one that has not will discover them with you in the hall. Ask for the show name, the year and a photo of the stand standing — not a 3D render.
3 · “Which items are not in the quote?”
The cheapest quote in the Eastern Province is usually the least complete one. The items dropped to shrink the number and then surface days before opening are well known:
- Venue charges: contractor permit, damage deposit, and the power connection from the hall panel to the stand (not just the wiring inside it).
- Storage: empty crates cannot stay in the hall, and storing them outside has a price.
- Dismantling, clearance and waste removal — many quotes price “installation” only.
- A resident supervisor in the hall for all show days. If it is not written, they will not be there.
We explain these items in detail in how to read an exhibition stand quote.
4 · “Who will stand in the hall on opening day, and what is their number?”
A person's name and a mobile number. Not “our team will be there”. Something always happens on opening day — an identity panel mounted upside down, a screen that receives no signal, a reception counter hiding the logo — and the difference between a problem solved in ten minutes and one solved in the afternoon is a person with decision authority in the hall, not in an office forty kilometres away.
5 · “Are you a registered vendor with our industrial clients?”
This question matters more in the Eastern Province than anywhere else. If your event is for a company in Jubail or Ras Al-Khair, or inside an Aramco or SABIC compound, the organising company needs to be registered in the procurement system (usually SAP Ariba), its workers insured and holding gate passes, and a safety plan submitted before the first truck goes in. A company that has never been through this will add three weeks of paperwork to your schedule. We wrote about it in detail in industrial company events in Jubail.
6 · “What happens if we change the design after sign-off?”
A good answer names a date: “before such-and-such date changes are free within two rounds; after it they are priced and affect the schedule”. The bad answer is “no problem, we'll manage”. A company that says “no problem” to everything will say “there was a change” about every delay.
7 · “One company, or several suppliers?”
Some clients buy design from a studio, fabrication from a workshop and audio-visual from a third company, and save on the numbers what they lose in coordination. There is no single answer; we compared both routes day by day in one company or five suppliers?. What matters here is asking the company: what will you deliver yourselves, and what will you subcontract? Everyone has an honest answer, because nobody manufactures the LED screens themselves.
What is different in the Eastern Province
| Item | Eastern Province | What it means for you |
|---|---|---|
| Large venues | One international venue (Dhahran Expo) and hotel ballrooms in Khobar | Good dates are booked months out; start with the venue, not the design |
| Clients | Industrial and energy: Aramco, SABIC, their contractors and suppliers | Vendor registration and safety are part of the project, not an add-on |
| Season | Peak from September to March: National Day, the iktva forum and industrial shows | Workshops are full at peak; early contracting buys time, not a discount |
| Weather | High humidity from May to September | Outdoor events need cooling and air-conditioned tents — a large line in the budget |
How we answer the seven questions
Arena Rise is a Saudi company based in Dammam, with its workshop in Dammam and suppliers in Khobar, Jubail and Al-Ahsa. We deliver custom stands, exhibitions, conferences and launch events from design to clearance, and every quote we issue carries a “not included” line before the total. If you want to test us with the seven questions, that is exactly why we wrote this guide.
Common questions
How much does an exhibition company in Dammam cost?
There is no price “for the company”, only for the project. A custom 3×3 stand starts at around SAR 18,000, and a full exhibition for twenty exhibitors at Dhahran Expo starts in the hundreds of thousands depending on the hall and the days. We published detailed ranges in our article on exhibition stand costs in Saudi Arabia.
Does the organising company need a licence from the Saudi Conventions and Exhibitions authority?
Public exhibitions and conferences in Saudi Arabia need a licence from the Saudi Conventions and Exhibitions General Authority, normally applied for in the organiser's name. Internal corporate events (an employee conference, a plant opening) follow a different path. Ask the company who will file the application and when; the answer should be before the venue is booked, not after.
Do you work outside Dammam — in Jubail, Al-Ahsa and Hafr Al-Batin?
Yes. Most of our work is in the Dammam–Khobar–Dhahran triangle, we deliver regularly in Jubail and Al-Ahsa, and we reach Hafr Al-Batin and Nairiyah for industrial events. Distance shows up in the transport and accommodation line of the quote, not in the quality.
How far ahead of the show should I contract?
For a custom stand: six weeks before hall access as a comfortable minimum, eight in peak season (September to March). For a 300-delegate conference: ten to twelve weeks. Less is possible, but it is paid for in rush charges and fewer options.
